Receptionist / Administrative Assistant

DK Conquest Construction Inc./ DK Conquest Luxury Car Rentals Inc. – Vancouver, BC

$16 – $20 an hour – Full-time

We are currently looking for a Receptionist/Administrative Assistant to join our quickly growing team in our Vancouver office.We are operating both our Construction and Luxury Car Rental business’ in this office and are seeking an enthusiastic individual who can maintain a pleasant demeaner while moving effectively through this fast-paced environment. We are a small, tight-knit company and require a candidate who is eager to grow the company with us long-term. There is a lot of potential for growth as the companyincreases in size, so we are looking for someone who is dynamic and able to adapt to change.

RESPONSIBILITIES

  • Manage reception area, including greeting visitors and responding to telephone, e-mail, and in-person requests for information about both construction and luxury car rentals
  • Welcome clients, vendors, sub-contractors in a friendly and courteous manner (in person, over the phone, and in written communications)
  • File documents(paper and electronic), including receiving and distributing incoming and outgoing mail, checking that invoices have been paid, photocopying,and scanning files
  • Prepare agreements and documents for Luxury Car clients, add appointments as necessary, have documents ready to be signed according to the schedule, and follow-up with recent rental clients for review
  • Updateelectronic database of leads, clients, and vendors, ensuring the information is always current. Manage basic website information to ensure pricing is always accurate
  • Update social media regularly on various platforms, including website management and maintenance
  • Update expense reports as they are received and create new reports accordingly
  • Update Project Management software (BuilderTrend), including adding new leadsand daily activity logs for existing clients
  • Light accounts payable & receivable tasks,including submitting payments to vendors via company card and accepting credit card payments from clients
  • Administrative support to the General Manager and Owner as assigned, including calling clients, writingBuildertrendnotes, ordering materials, obtainingquotes from trades, etc.
  • Light office cleaning, including sweeping, dusting, wiping down surfaces, and keeping inventory of office supplies

REQUIREMENTS

  • Proficient in Microsoft Office (Outlook, Word, Excel)
  • Fluent in English (verbal and written)
  • High School diploma (additional certification is a plus)
  • Experience in the construction or car rental industry is preferred
  • Previous receptionist/office assistant experience required
  • Website management and office software experience is preferred

We are a Residential and Commercial Construction & Renovation company based out of Vancouver (with projects throughout Greater Vancouver & Tri-cities) looking for hard working and positive Construction Site Leaders/All Round Renovation Experts to join our energetic team. We are a tight-knit family run company and require a candidate who is a team player, and able to adapt to change as we grow.

RESPONSIBILITIES

  • Operate as the Site Leader on projects assigned to you and delegate tasks to other workers as necessary
  • Assist with all aspects of a renovation
  • Source and pick up materials required to complete the scope of work assigned to you
  • Work with Project Coordinator and Office Admin to put together schedules according to the scope of work and deadlines
  • Document job progress daily in our project management software (mobile app available)

REQUIREMENTS

  • Strong work ethic, highly motivated, and enjoys a challenge
  • Calm demeanor with ability to think outside the box to find solutions to challenges
  • Able to prioritize and be flexible, while maintaining efficiency
